Submitting Shipping Instructions for Hazardous Material Shipments

Over the past several years, BNSF has introduced a number of electronic tools to aid in the automation of the billing process. These tools—located at the billing process and are designed to make doing business with BNSF easier. In fact, so many BNSF customers have recognized the value of the methods listed below, today over 99 percent of the shipping instructions submitted to BNSF are sent by one of these electronic methods.

However, currently 50 percent of the Hazardous Material (HazMat) shipping instructions that BNSF receives are via fax. Listed below are some tools that are available to customers for sending Hazardous Material (HazMat) shipping instructions information electronically:

BNSF Shipping Instruction Tool on the BNSF Web Site ( (This is the preferred option for non-EDI customers. See more information below.)
System to System Electronic Data Interchange (EDI)
Rail Industry Shipping Instruction Tool on the Internet (Steelroads )
    Third Party Provider
As a result of the availability of these electronic options, fax billing will no longer be accepted. Please refer to the attached “Electronic Billing Frequently Asked Questions” for information on how to handle fax billing through a third party provider.

      BNSF Shipping Instructions Web Tool
The BNSF Shipping Instructions Web Tool is available to registered users of Shipping instructions can be submitted 24 hours a day, seven days a week using this tool. This tool is also available to send HazMat shipping information.*

[*The only exception to this policy would be commodities declared as Hazardous Waste. Shipping Instructions for Hazardous Waste will continue to be handled as required in 40 CFR (U.S. mail or Overnight carrier) as there are currently no EDI standards to support billing of hazardous waste and electronic signatures.]

This tool has HazMat look-up functionality. You can enter either the identification number (UN/NA) or commodity code (STCC). The new look-up function will make your HazMat billing input much easier and more accurate. Error-free billing is the goal and a requirement of DOT regulations.

Any questions regarding these shipping instruction requirements should be addressed to the BNSF eBusiness team at 1-888-428-2673, Option 3, 1. You may also send an email to
